Publicizing Programs or Events

Make the most of your educational outreach program with these tips for publicity.

Before the Event

Draft a promotional communication, press release and/or advertisement to publicize your event through these channels.

  • SPE section newsletter
  • SPE section website, if you have one
  • Email communication to your section (or appropriate section members) letting them know about your event and need for volunteers (if applicable)
  • Announcement at your SPE meetings
  • Through your section’s social media account (FaceBook, Twitter, etc.)
  • Energy4me.org: If appropriate, we will promote your event on our website
  • Send press release to
    • your local media
    • schools/organizations that may  publish information in their newsletters

If students will be photographed at your event, use the Minor Photo Release form to obtain permission. It is sufficient to have the principal or classroom teacher sign the form for the students. If your event is large enough and you have the funding, you may want to hire a photographer.

During the Event

  • Take notes of your attendance numbers, special activities within your event and special guests.
  • Get a few positive quotes (and permission to use them) from various event participants (students, teachers, guest speakers, organizers).
  • Take high-resolution photos and video if possible.
  • Have fun!

After the Event

  • Draft another press release with final numbers and details about your event. Include some quotes.
  • Send press release to:
    • Your local media
    • The participating schools/organizations
    • Energy4me to include on Energy4me.org
  • Celebrate your accomplishment and your volunteers
    • Publish an article in your section newsletter and on your section website. Be sure to thank the volunteers for their efforts!
    • Share event details with members at your next section meeting. Recognize the volunteers.
    • Send Energy4me details, photos and videos of your section’s energy education activities. It will be considered for posting on www.energy4me.org to recognize your section while inspiring others to participate.
